Summary
To book a holiday at Ulpotha through East Pole Holidays FZCO, a non-refundable 40% deposit is required, with full payment due 8 weeks before the start date of a holiday. Cancellations made less than 56 days (8 weeks) before the holiday result in forfeiting the deposit. Any balance is available for use as a credit towards the cost of a future holiday booked within a calendar year. The holiday package includes twin-shared accommodation, meals, snacks, fruit juices, yoga, a massage per week's stay, herbal steam baths, the transportation cost of excursions and use of bicycles. It excludes flights, external costs of excursions, insurance and Ayurveda treatments. Guests must have valid travel insurance. East Pole Holidays is not liable for program changes, cancellations, delays, injuries howsoever caused, personal property loss, or unforeseen events.
Contract of booking
The parties to the Contract of Bookings shall be the person making the booking on the one part and East Pole Holidays FZCO (East Pole) on the other part. No contract shall exist until the minimum payment of a non-refundable 40% deposit is paid, and such payment is acknowledged in writing as received.
Booking authorisation
Where a booking is made on behalf of several individuals, it will be incumbent on the person making the booking to bring the terms and conditions (T&Cs) to the attention of each person for whom a booking is being made and to secure their acceptance before agreeing collectively to same. The acceptance of these T&Cs by the person making the booking shall be taken as acceptance of the T&Cs by all individuals included in the booking.
Payment
Where only the non-refundable deposit is paid at the time of submitting the booking form, full payment of the balance due must be made 8 weeks (56 days) before the start date of the holiday. Failure to do so may result in East Pole exercising its right to cancel such booking(s) and to levy the applicable cancellation charges set out below. Please note that guests who wish to pay by credit card will pay a surcharge of 3.5%.
Cancellation
Cancellation of a holiday, for whatever reason, should be notified to East Pole in writing. Please note that, when a cancellation is made less than 56 days from the start of a holiday and the full amount has been paid at such time, the 40% non-refundable deposit will be forfeited. However, the balance will be available as a credit towards a future holiday to be booked within a calendar year. The replacement holiday will be subject to availability and booked at prevailing rates.
The normal cancellation charges are:
If more than 56 days before the start date of holiday, loss of non-refundable deposit of 40%
55 – 28 days before the start date of holiday, 70% of total price
27 days or less before the start date of holiday, 100% of total price
Insurance
In order to participate in holidays at Ulpotha, guests must possess valid travel insurance.
Costs
Costs include full board accommodation on a twin-sharing basis, meals, snacks, fruit juices, yoga classes, one massage per week's stay, transportation for an excursion per week, use of bicycles and herbal steam baths. Not included are flights, insurance, airport transfers, entrance fees to cultural sites, food & drinks on excursions, beach excursions, supplementary massages, and Ayurveda programmes.
Accommodation
Accommodation is on a twin-shared basis. Double mattresses for couples are available upon request.
Retreat changes
All the yoga holidays listed will have been confirmed by the yoga teachers. If, for any reason, a course teacher becomes unavailable, East Pole will do its utmost to replace them with a teacher of similar qualities. Wherever possible, guests will be advised in advance of any alterations. Such changes, should they be necessary, shall be accepted by those enrolled in the affected programme.
Exclusions
East Pole does not accept responsibility or liability for cancellations, delays, changes in course programmes, loss of/or damage to personal property of guests, or losses caused by acts of God, war or threat of war, closure of airports, civil strife, natural disasters, accidents, guests’ injuries, illnesses, medical or psychiatric conditions developed during or subsequent to the holiday, or any other events beyond or within our control.
Acceptance
Agreeing to these T&Cs is necessary prior to making a booking. As such, proceeding to making a booking implies the acceptance of all the T&Cs above.
